Definition

Microcopy is small instructional text guiding users through website, app, or email actions via button labels, form instructions, error messages, and tooltips.

Why it matters

Microcopy directly affects whether someone completes an action or abandons it. A coaching business in Seattle tested two versions of their contact form. The original version had a "Submit" button with no additional text - conversion rate was 12%. They added one line of microcopy below the button: "We'll reply within 2 hours on weekdays." Conversion jumped to 19%, generating 58% more leads without changing their marketing spend. The microcopy removed uncertainty about what happens after clicking. For a business generating 200 leads monthly at $500 average client value, that's an extra $58,000 in annual revenue from changing eleven words.

Example

A Denver-based SaaS company selling project management software had a free trial signup form. Their email field showed generic text: "Email address (required)". When users entered an invalid email format, they got a red error: "Invalid email". Signup completion rate was 64%.

They rewrote the microcopy. The field placeholder became "Your work email". The error message changed to "Hmm, this doesn't look like a valid email - mind double-checking?" They also added microcopy under the "Start free trial" button: "No credit card needed · Cancel anytime". Completion rate increased to 81%, adding 340 new trial users per month. At their 8% trial-to-paid conversion rate and $49/month price point, this microcopy change generated an additional $1,330 in new monthly recurring revenue.

How to apply

  1. Add clarifying text below email signup forms explaining exactly what subscribers will receive and how often
  2. Replace generic button text like "Submit" with specific, outcome-focused labels like "Get my free quote" or "Download the checklist"
  3. Write error messages that explain what went wrong and how to fix it, instead of technical jargon like "Error 402"
  4. Add reassurance near purchase buttons addressing the biggest objection - "30-day money-back guarantee" or "Join 2,400+ Austin businesses"
  5. Use field placeholder text to show format examples: "john@company.com" instead of just "Email"
  6. Include confirmation microcopy after form submission telling people exactly what happens next and when to expect it
